Creating an order in the lab account

How to create an order as a lab, from selecting the practice all the way to the treatment date.

Overview

As a lab, you can create orders yourself — for example, to digitize case sheets from practices. This article walks you through the whole process:

Note: To create an order you need a product catalog with indications and at least one practice already set up


Start a new order

  1. Click New Case in the top navigation bar.

  2. Select the practice the order is for.

  3. Set which practitioner is treating the patient.

  4. Add the patient — select an existing one or create a new one.

  5. Optionally enter the patient ID. This is the ID from the practice management software — useful if the case sheet only identifies the patient by this ID.

  6. Enter the insurance and click Create Case and Continue.


Select the indications

After clicking Continue, you'll see all the indications you've previously enabled in this practice's product catalog. The view is split into three areas:

  • Left: the full product range

  • Middle: the configuration for the currently selected indication

  • Right: the cart

  1. Find the indication you want on the left (e.g. a bite splint under Splints, or an implant crown under Implantology).

  2. Answer the questions about the indication in the middle, from top to bottom.

  3. Click the affected tooth last — the indication is added to the cart on the right.

  4. Repeat this for every other indication in the order.

Important: In Crownbeam, always think top to bottom. Fill in the fields at the top first — color, then material, then variant — and only click the tooth afterward. If you click the tooth first, the software is missing the information it needs.

Note: If several teeth should get the same color, material, and variant, you can click the next tooth directly — the last settings stay active and carry over. You only need to set the fields in the middle again once the color, material, or variant changes.

If you've set up an additional question for an indication (via indication notes), it appears here. Answer it by entering the information in the additional information field.


Enter the impression type

  1. Indicate how the impression reached you — digital or analog. Crownbeam uses this because you can set different production times per impression type in the product catalog.

  2. Click Continue to reach the order summary.

Note: The order is already created at this point — even without a shipping or treatment date. If you switch to the dashboard now, you'll already see it in the list.


Add the treatment date

  1. Enter the treatment date in the lower of the two date fields.

  2. Crownbeam automatically calculates the optimal shipping time based on your shipment details.

From here you can keep working in the order — for example, adding an internal note or an intake photo. You can accept the order and move it through further statuses via the next possible action in the top right. More on this in Understand and change order status.

Note: Internal notes are only visible to your team at the lab — the practice has no access to them in the customer portal.

Tip: Via the next possible action in the top right you can also print the case sheet — Crownbeam generates a PDF that you can print and file internally right away.


FAQs

Can the lab create an order without a treatment date?

Yes. The order is already created before you enter a date — it then appears in the order list without a shipping or treatment date. You can add the treatment date to the order at any later point.

What do I do if the practice ordered something I can't enter?

If, for example, a practice ordered a layered crown but you've only enabled monolithic crowns, add the missing variant in the product catalog. After that you can create the order as usual. More on this in Add indications to the product catalog.

Why doesn't an indication show up as an option?

If a desired indication doesn't appear, it's either not set up in the product catalog or not assigned to this practice. Check the product catalog of the practice in question.
