Overview
If a practice works with an intraoral scanner (e.g. 3Shape TRIOS), new scanner orders automatically land in your Inbox — provided you've set up the corresponding integration. From there, you assign the scan to a practice in Crownbeam and create an order from it.

How to create an order from an intraoral scanner
Open the Inbox at the top of the menu bar — new scans from your integration appear there.
Select the incoming order.
On the left, assign the scan to a practice in Crownbeam.
Decide whether future orders from this practice should be assigned automatically. If so, this step is skipped for this practice going forward.
Click Create Case.
Match the indications from the scanner portal to your Crownbeam indications.
Complete the order setup — the scan files are now automatically linked to the order and can be viewed under Files in the order.
Success: If automatic assignment of scanner users is active for a practice, new scans from that practice will land directly as an order in your Home view from now on — without the Inbox step.
Tip: You can download intraoral scan data sets together as a .zip via the submenu in the top right of the order.
FAQs
Why doesn't a scanner order appear in the Inbox?
If automatic assignment of scanner users is already active for this practice, Crownbeam skips the Inbox and creates the order directly. You'll then find it under All Orders → Ordered. More on this in Intraoral scanner order not immediately visible.
Does the practice need to change anything about its workflow?
No. The scanner integration is set up entirely in the lab account. The practice sends orders through its scanner as usual — Crownbeam picks up the orders automatically.
Are the scan files transferred automatically?
Yes. When you create the order from the Inbox, the scan files are automatically downloaded and assigned to the Crownbeam order. You don't need to transfer anything manually.
I accidentally assigned the scan to the wrong practice automatically — how do I undo that?
Open the Settings via the gear icon in the top right and go to Integrations on the left. Select your integration and click Delete user matchings. The matching stays saved even when you disable automatic assignment of scanner users — it has to be removed explicitly.
Careful: The button deletes all saved matchings, not just the wrong one. For every practice where automatic assignment should still apply, set it up again afterwards: the next scan from that practice arrives in the Inbox again. Assign it to the practice there and enable the Automatically assign in the future checkbox once more.
