Understanding the delivery note

Learn what the delivery note contains, how to open it and what the practice gets to see on it.

What the delivery note is

The delivery note is the document that travels with the finished work to the practice. On a single page it sums up who is delivering, where the delivery goes and what is being delivered: sender address, recipient practice, order ID, patient, treatment date and the ordered indications with their details.

Unlike the Case Sheet, which stays strictly internal to the lab, the delivery note is meant for the practice. Whatever you write under Lab instructions in the order and whichever files you add there appear on the delivery note. Internal notes do not, they stay with your team in the lab.

Thanks to this separation you can communicate freely with your team on the case sheet while the practice only gets to see the delivery note. The delivery note lists what the package contains. It is not an invoice: billing still runs through your invoicing software.

Tip: Use the Lab instructions for everything the practice needs to know when seating the restoration, for example which tightening torque applies or how long to etch.


How to open the delivery note

You open the delivery note inside the order in two ways:

  • As the next action: As soon as the order is in the In-Progress status, the large button in the top right reads Delivery Note.

  • Through the order menu: Click the three dots in the top right and select Delivery Note. On a completed order the entry disappears from the order menu.

Note: As soon as you download the delivery note, the order automatically moves to the Preparing Shipment status.


What the delivery note contains

The delivery note contains everything the practice needs for the delivery. Here is an example of what it looks like:

What the individual fields mean:

  • Header — the logo and name of your lab, with your sender address below

  • Recipient — the practice with its full address, positioned for the address window of a DIN A4 envelope

  • QR code Go to Order — scanning it opens the order directly in Crownbeam

  • Order ID — the unique number of the order in Crownbeam

  • Patient — the name of the patient

  • Treatment date — the appointment with the patient at the practice

  • Tooth No. — the tooth concerned according to the tooth chart

  • Indication — what was produced, a crown for example

  • Details — color, material and variant of the indication

  • Lab instructions — your message to the practice together with the files you added there

FAQs

Can the practice see my internal notes on the delivery note?

Internal notes do not appear on the delivery note. They stay with your team in the lab and are only printed on the internal case sheet. Anything the practice should read belongs in the Lab instructions in the order: that text and the files added there appear on the delivery note and in the customer portal.

Who can use the QR code on the delivery note?

Both the lab and the practice can scan the QR code on the delivery note to open the order directly, provided both sides have a Crownbeam account.

Why does the status change when I download the delivery note?

Crownbeam reads your action as a signal for the stage the order has reached. When you download the delivery note, Crownbeam assumes the work is finished and about to be packed, so the status moves to Preparing Shipment. You can always set it back using the pencil icon next to the status.

Are prices shown on the delivery note?

The delivery note does not show prices by default. It describes what the package contains and does not replace an invoice. Invoicing still runs through your invoicing software.

I added the lab instruction afterwards, does it appear on the delivery note?

Yes, as soon as you open the delivery note again. The delivery note is generated fresh every time you open it and therefore always reflects the current state of the order, including a lab instruction you only wrote after the first printout.

Can I print the delivery note again after the order is completed?

On a completed order the delivery note is no longer available in the order menu, the entry disappears along with Case Sheet and Download as Zip. If you still need the delivery note, use the pencil icon next to the status to set the order back to an earlier status and open it there again.
