Creating an order through the customer portal

As a practice, learn how to create an order in Crownbeam

Overview

As a dental practice, you create orders directly in Crownbeam and send them to your lab. The order wizard guides you through four steps:


How to enter the patient

  1. Click New Case in the top navigation bar.

  2. Select the practitioner.

  3. Search for the patient by name or ID — or click Create new Patient in the top right.

  4. Now click Create Case to move to the next step.

Tip: The patient ID from your practice software helps the lab match the order quickly — especially if first and last names occur often.


How to configure the restoration

In the next step, you see your lab's range of indications. The view is split into three areas:

  • Left: the lab's range of indications

  • Middle: the configuration for the selected indication

  • Right: the cart with impression type and additional instructions

  1. Select the desired indication on the left (e.g. crown).

  2. Set color, material, and variant in the middle — from top to bottom.

  3. Click the affected tooth — the indication is added to the cart on the right.

  4. On the right in the cart, select the impression type (Analog or Digital) and add additional instructions for the lab if needed.

  5. Repeat this for every other indication in the order.

  6. Check the cart for accuracy before clicking Next in the top right.

Tip: Only click the tooth after you've set color, material, and variant — not before. Otherwise the software is missing the information it needs.

Note: If several teeth should get the same color, material, and variant, you can click the next tooth directly — the last settings stay active and carry over. You only need to set the fields in the middle again once the color, material, or variant changes.


How to upload data

  1. Upload files from the treatment computer via drag & drop into the upload field on the left, or use the file picker.

  2. For patient photos: scan the QR code on the right with your smartphone and upload images directly from the camera app.

Note: For privacy reasons, photos uploaded via QR code aren't saved on your device, unless you selected them from your photo library.


How to choose the appointment and place the order

  1. Check all the details in the summary. You can also make changes to the order by clicking Back in the top right.

  2. Enter the treatment date — made up of date and time. Both are required fields. Crownbeam shows you the earliest possible treatment date.

  3. Via the three-dot icon in the top right, you have the option to request a cost estimate from the lab.

  4. Click Order now to submit the order.

Once the order is placed, the chat with the lab becomes available — directly in the order.


FAQs

Can I submit an order without a treatment date?

No — as a practice, the treatment date is a required field when ordering, and that means both date and time. Without both, the order can't be submitted. Crownbeam uses this to calculate the shipping time for the lab.

Why doesn't an indication show up as an option?

If an indication isn't visible, your lab hasn't enabled it for your practice yet. Reach out to the lab directly — they can add the indication to the product catalog.

Can I add files after placing the order?

Yes. Open the order and upload additional files via the chat directly in the order.

Does the practice also see the lab's internal notes?

No. Internal notes are only visible to the lab team. In the customer portal, the practice only sees order data, uploaded files, patient photos, and the chat history — but no internal notes.
