Understanding the case sheet

Learn what the case sheet is, how to retrieve it, what it shows, and how it works with appointment sequences.

What is the case sheet

The case sheet is a printable document that summarizes all the essential information about an order on one page. It physically travels with the work through the lab — from the technician to final inspection — and includes patient data, indication, appointments, and internal notes.

How to retrieve the case sheet

You can retrieve the case sheet in two ways — depending on what stage the order is at:

  • Right after accepting the order: Click the Case sheet button in the top right of the order. It appears as soon as you've accepted the order.

  • At any time after that: Click the three-dot icon in the top right and select Case sheet.

Tip: The case sheet updates automatically when you make changes to the order — for example when internal notes are added. Just retrieve it again to get the current version.


What's on the case sheet

The case sheet contains all the essential information about the order at a glance. Here's an example of what it looks like:

What the individual fields mean:

  • Order number — the order's unique number in Crownbeam

  • Patient — the patient's name

  • ID — internal patient ID

  • Practice — which practice placed the order

  • Practitioner — which dentist is responsible

  • Shipping date — when the order needs to leave the lab

  • Treatment date — the patient's next appointment at the practice

  • Ordered — when the practice created the order

  • Insurance — the patient's billing type

  • Address — the practice's address

  • Indication with tooth number — exactly what needs to be made, including material and details

  • Internal notes — notes stored in the order


Case sheet with appointment sequences

If an order has an appointment sequence — meaning it consists of several steps — the case sheet always shows only the current step. This is intentional: the case sheet shows exactly what needs to be produced right now.

Future steps are deliberately not printed. Appointments can still change — for example, if a patient cancels or a step gets postponed. A sheet with already-printed future appointments would then be outdated and could lead to mistakes.

Customizing the case sheet

If you'd like all the appointment steps of a sequence to appear on one case sheet, that's possible through a custom adjustment to your case sheet. Write to us at [email protected] and describe what you'd like.

Note: The customization may involve a fee, billed based on development effort.


FAQs

When does the "Case sheet" button appear in the top right?

The Case sheet button appears as soon as you've accepted the order. It isn't available before that. At any later point, you'll find the case sheet via the three-dot icon in the top right.

I updated the order — is the case sheet outdated now?

No. When you retrieve the case sheet again, it always reflects the order's current state. Just open it again to get the updated data.

Why don't I see all appointments on the case sheet for a sequence?

The case sheet always shows only the currently active step of the appointment sequence. That way every technician knows exactly what needs to be produced right now. You can see all appointment steps at a glance directly in the order in Crownbeam — or in the article Understanding appointment sequences.

Can I customize the case sheet myself?

The standard fields on the case sheet can't be edited yourself. Custom adjustments — such as additional fields, a different format, or a different layout — are implemented by the Crownbeam support team on request. Just write to us at [email protected] and describe what you'd like. The customization involves a fee.

Can I retrieve the case sheet via the API?

No, the case sheet is currently not available via the API.
