Overview

In Crownbeam, orders can be created in three different ways. That's one of the system's big advantages: you can work with digitally set-up practices, take on scanner cases, and still represent analog orders cleanly in Crownbeam.

The key point is: no matter how an order starts, it always ends up in Crownbeam. From there, the lab and the practice keep working on the same case.

The benefits

  • One unified process for digital and analog orders

  • One shared patient case for the lab and the practice

  • Fewer media breaks in communication and file exchange

  • More visibility into status, files, and questions

  • More flexibility for practices at different levels of digitalization

The three ways an order can be created

1. The practice creates the order directly in Crownbeam

The practice has its own access to its customer portal in Crownbeam. Via New order, it can send a case directly to your lab. From then on, the practice and lab work in the same order — file exchange, communication, and status all in one place.

This path makes particular sense when the practice actively works with Crownbeam and should create orders digitally themselves.

The benefit: Crownbeam helps the practice fill out the order completely and correctly. Depending on the indication, Crownbeam also helps plan realistic treatment dates and avoid lead times that are too short.

2. The order is created via an intraoral scanner integration

If a practice works with an intraoral scanner (e.g. 3Shape TRIOS), you connect Crownbeam on your side with your scanner account — for example with 3Shape Communicate. Crownbeam then automatically picks up incoming scanner orders and creates Crownbeam orders from them.

If the practice has already been invited to Crownbeam, it also sees this order in its own customer portal. So here too, you both end up working on the same case.

The benefit: You no longer have to manually gather scanner cases from different portals or transfer files by hand. The orders land together in Crownbeam and become part of your normal process.

Note: The scanner integration is set up in the lab account. The practice doesn't need to change its usual workflow for this.

3. The lab creates the order itself

This path makes sense when an order reaches you through a channel that isn't connected or is analog — for example on paper or by email. You create the order yourself in Crownbeam. If the practice already has Crownbeam access, the order automatically appears in its customer portal too.

That way, you can communicate and exchange files on the same case even when the order wasn't created digitally by the practice.

The benefit: Even analog orders can be brought into your standard digital process.

Note: This path is especially helpful if you work with practices that still send conventional, analog impressions.

Why this matters

The three paths are just the entry point. The real value comes after that.

No matter whether an order comes directly from the practice, is created via a scanner integration, or is entered by you at the lab: in Crownbeam it always turns into the same shared patient case.

That means for you:

  • one central place for communication

  • one central place for files

  • one central place for the current status

That way you can work with practices at very different levels of digitalization within one unified system.

Best practices

Invite practices to Crownbeam as early as possible

As soon as a practice has Crownbeam access, it can also see orders it didn't create itself. This makes collaboration much easier.

Use Crownbeam as a shared workspace

The more communication and file exchange happen directly in the order, the less you need to follow up by email, phone, or other channels.

Bring analog orders into Crownbeam too

Even if an order starts outside Crownbeam, it's worth creating it in Crownbeam. That way your process stays consistent.

👍 The strongest workflow isn't the one with just a single intake channel — it's the one where every intake channel feeds into the same clear process.

FAQs

Does every practice have to create its own orders in Crownbeam?

No. An order can be created directly by the practice, come in via a scanner integration, or be entered by the lab itself in Crownbeam — all three paths lead to the same result.

Can analog orders also be represented in Crownbeam?

Yes. If an order reaches you by paper or email, you create it yourself in Crownbeam. That way your process stays consistent even for analog intake.

What's the benefit of the scanner integration?

Scanner cases are picked up directly into your Crownbeam account. You don't have to additionally organize yourself across different scanner portals or transfer files manually.

Do practices also see orders the lab created?

Yes — as long as the practice already has Crownbeam access, the order also appears in its customer portal.
