Add material batches to an order

How to record consumables for material batch tracing — manually via the lot number, or by QR scan.

Overview

You can trigger material batch tracing in Crownbeam in two different ways:

  • Manually — type in the lot number in the order. Always works, even without a camera.

  • QR scan — scan the material with a camera. You can use your smartphone (Crownbeam app) or a document camera on your computer (e.g. IPEVO P2V Ultra) for this.

In both cases, you open the order itself normally by clicking it — either in the Crownbeam app on your smartphone or in Crownbeam on your computer. Alternatively, you can scan the case sheet to open the order. Both routes lead to the same result.


Route 1 — Manually via the lot number

The manual route is the reliable standard. You type in the lot number, and Crownbeam automatically recognizes known materials or lets you create new ones.

How to add a batch manually

  1. Open the order and scroll to the Material batch tracing section.

  2. Click the + icon.

  3. Type in the Batch nr. (LOT).

  4. If Crownbeam knows the lot number, the matching material from the database is suggested — select it and confirm.

  5. If Crownbeam doesn't know the lot number, create the material via the + icon and add it to the order.

Tip: Once a material has been created, it stays in the database. The next order with the same lot number will suggest it immediately.


Route 2 — Via QR scan (smartphone or document camera)

The scan route works with any device that has a camera: your smartphone via the Crownbeam app, or a document camera permanently connected to your computer, such as the IPEVO P2V Ultra. The process is the same either way — you open the order first and then scan the material.

How to scan with your smartphone

  1. Open the Crownbeam app on your mobile device.

  2. Open the order you want — either by tapping it in the order list, or by scanning the QR code on the case sheet.

  3. Scroll to the Material batch tracing section in the order.

  4. Click the scan icon on the right (next to the + icon).

  5. Hold the material's QR code up to the camera. Once the code is recognized, you can add the material to the order directly.

How to scan with the document camera

  1. Open the order you want in Crownbeam — either via the order list, or by scanning the case sheet with the scan icon in the top bar.

  2. Scroll to the Material batch tracing section.

  3. Click the scan icon on the right (next to the + icon).

  4. Hold the material's QR code under the document camera.

  5. As soon as the code is recognized, the material is added directly to the order.

Setting up the document camera

To scan material with a document camera, it needs to be set up once on your computer. The IPEVO P2V Ultra has proven itself and is versatile for use in a dental lab. Other USB document cameras also work, as long as the browser recognizes them as a webcam.

  1. Connect the document camera to your computer via USB.

  2. Open Crownbeam in your browser.

  3. Allow camera access permanently if your browser asks the first time you try to scan.

Success: After a short refresh, the scanned material appears in the order's material batch tracing.


MDR Declaration of Conformity

Once material batches are assigned to an order, Crownbeam can automatically generate an MDR Declaration of Conformity when the order is completed. It's saved in the order and available to both the lab and the practice.

How to download the Declaration of Conformity

  1. Open the order.

  2. Click the three-dot icon in the top right of the order.

  3. Select the entry to download the MDR Declaration of Conformity.


FAQs

Which route is right for me?

If the material has a QR code and you have a camera at hand (smartphone or document camera), the QR scan is fastest. If the material doesn't have a QR code or you don't have a camera available right now, the manual route via the lot number always gets you there.

Do I have to scan the case sheet when scanning?

No. Scanning the case sheet is just one alternative way to open the order — whether with your smartphone or the document camera. You can just as easily open the order by clicking it on your PC/laptop or in the Crownbeam app, and scan the material directly.

What happens if Crownbeam doesn't recognize a material?

If Crownbeam finds no data for a lot number or QR code, you can create the material manually via the + icon and add it to the order.
