Overview
Not every order is perfect the moment it's created. That's why Crownbeam lets you adjust certain order information at the lab afterward. This way you can correct core data, change ordered indications, or adjust appointments without having to recreate the whole order.
What this is useful for
Correct patient data if the name, patient ID, or practitioner has changed
Adjust order details if the desired indications change
Update appointments if the shipping date or treatment dates need to move
Track changes, since every adjustment is documented in the event protocol
How to edit order information
Open the order you want in the lab account
Find the card that holds the information you want to change
Click the pencil icon in the top right of that card
Make the change
Check the order again for completeness after editing
Editing patient data
In the Patient card, you can change the following information:
Patient name
Patient ID
Insurance type
Practitioner
Practice shipping address
The practice is also shown in this card, but can no longer be changed once the order is created.
Tip: If the wrong practice was assigned to the order, you have to delete the order and create it again. An order can only be deleted by a lab user with permission to delete orders.
Editing order details
In the Order card, you can edit the order itself.
There, via the pencil icon, you can adjust the ordered indications if something has changed after the fact.
Editing appointments
In the Appointments card, you can change the following details:
Shipping date
Treatment dates
Tracking changes in the event protocol
Changes to an order are recorded in the event protocol.
You'll find the event protocol in the chat in the top right.
Important notes
Once an order has been submitted, the practice can no longer change core data — meaning neither the assigned practice nor the ordered indications. There are a few things it can still do itself in an order that's underway, though — see What the practice can still change itself above.
What the practice can still change itself
Once an order has been submitted, the practice can no longer change core data — meaning neither the assigned practice nor the ordered indications. But there are a few things the practice can still take care of itself in an order that's underway:
Insert or remove sequence steps — via the three-dot icon next to a planned appointment. More on this in Adjust appointments in a sequence order.
Write in the chat and communicate with the lab.
Send files — directly in the order or via the chat.
Delete files it uploaded itself. More on this in Delete files.
Change the practitioner — in the Patient card via the arrow next to Practitioner.
FAQs
Which information can the lab edit afterward?
The lab can edit patient name, patient ID, insurance type, practitioner, practice shipping address, ordered indications, shipping date, and treatment dates.
Can the practice be changed on an existing order?
No. The practice can no longer be changed once the order has been created. If the wrong practice was selected, the order has to be deleted and created again.
Can a practice change an order it has already placed itself?
Core data such as the assigned practice or the ordered indications can no longer be changed by the practice once it's submitted — from then on, only the lab can do that. But there are a few things the practice can still handle itself in an order that's underway: inserting or removing sequence steps, writing in the chat, sending files, deleting files it uploaded itself, and changing the practitioner.
Where do I find the event protocol?
You'll find the event protocol in the chat in the top right.
Who is allowed to delete an order?
Only a lab user with the corresponding permission can delete an order.
