How to add a team member

  1. Open the Settings via the gear icon in the top right.

  2. In the left menu, under My Business, select Team.

  3. Click Create user and enter Title, First Name, and Last Name.

  4. Leave the Send invitation checkbox enabled, enter the email address, and check the boxes for the desired permissions. If the team member shouldn't get their own login, disable the Send invitation checkbox instead — the email address field then disappears.

  5. Click Create user again — if Send invitation is enabled, the team member receives an invitation by email. If the checkbox is disabled, the user is created without an invitation.

Note: A team member without an email address can't log in to Crownbeam themselves. But they do appear when assigning tasks and orders — for example, to record which technician took on a task. This works well for technicians who don't use their own device with a login.

Tip: Ideally, every technician has their own login. But that only makes sense if everyone also uses their own device — otherwise technicians would have to keep logging each other in and out. Alternatively, you can use a shared collective account, where several technicians share the same login. The downside: it becomes harder to trace in the event protocol who did what.

Can I give a team member admin rights?

Yes — check the corresponding box for admin rights when creating the user, or afterward under permissions.

What happens if I want to send the invitation later?

You can create a user without inviting them right away. The invitation is only sent once you click Create user with an email address entered.

Can multiple team members use the same email address?

Yes, as a shared collective account: several technicians can share the same user with the same email address and the same login. The downside: the event protocol can no longer show which individual technician carried out an action. Alternatively, you can add a team member with no email address at all (disable the Send invitation checkbox) — then there's no login at all, and the team member only appears in task assignments.

Does every employee need their own email address?

No, that's not required. Ideally, each technician has their own login with their own email address — but that's only worthwhile if everyone also uses their own device. Alternatively, several technicians can share a collective account, or you can add a team member with no email address at all if they shouldn't be able to log in — they're then only visible in task assignments.
